Office Administrative Assistant

Job Description

This employee provides administrative support for the staff of Freshwater Community Church. The position calls for the performance of duties at a high degree of accuracy and independent judgement.

• Monday through Thursday, 29 hours per week

Qualifications

  • A committed follower of Jesus Christ who demonstrates spiritual maturity in attitude and actions
  • High detail and organizational ability
  • Strong verbal and written communication skills
  • A personality that is positive, graceful, and cooperative towards people on the phone and in person.
  • Proficient in office technology and in Microsoft Office applications including Word and Excel
  • Trustworthy and maintains a high level of confidentiality
  • Capacity to learn and adapt when needed
  • High school diploma or equivalent; associate’s or bachelor’s degree preferred
  • Maintains a professional appearance and demeanor

Responsibilities

1. Receptionist

  • Respond to and direct email and phone calls in a professional and welcoming manner
  • Greet and direct visitors in a professional and welcoming manner

Route prayer requests and important information to congregation

2. Administration

  • Maintain and order office supplies
  • Maintain data base in Planning Center Online
  • Process Planning Center Online Resources requests (oversee scheduling of facilities)
  • Maintain list of fob holders, key holders and alarm code holders
  • Receive, sort and distribute incoming mail
  • Maintain ongoing list of prayer requests for ministry staff
  • Monitor operation of office equipment
  • Carry out tasks such as filing, word processing, copying, binding, scanning, etc.
  • Compose letters and emails on behalf of ministry staff

3. Partnerships

  • With the Communications Assistant
  • Proof weekly bulletin
  • Maintain online directory
  • With Office Secretary
  • Handle incoming and outgoing mail
  • Route benevolence requests
  • With both Communications Assistant and Office Secretary
  • Maintain church calendar
  • With Custodial Staff
  • Communicate special needs regarding building use

 

4. Coordination

  • Baby Dedications
  • Coordinate times for ministry team and parents
  • Baptisms
  • Coordinate times for ministry team and those being baptized, notify deaconesses and custodians
  • BASICS Class
  • Send out invitations, track attenders, print and assemble booklets for class
  • Membership
  • Coordinate times for ministry team, elders and potential members
  • Miscellaneous support of ministry team
